Terms of Use

Last updated: 6 September 2026

These terms set out the basic rules for using the Karmiq pilot service. They are an operational draft and must be reviewed and completed by qualified counsel before Karmiq is offered as a public paid service.

1. Karmiq service

Karmiq is a secure workspace for employee records, onboarding documents, document requests and acknowledgements. These Terms apply when an organisation, its authorised users or an invited employee accesses Karmiq.

2. Organisation accounts

An organisation administrator may create a workspace and invite authorised users. The organisation is responsible for keeping its account credentials secure, selecting appropriate users and promptly removing access that is no longer required. Accounts may not be shared or used to access another organisation’s workspace.

3. Customer data and lawful use

The organisation retains responsibility for the employee information, documents and other content it submits to Karmiq (“Customer Data”). The organisation confirms that it has the necessary rights, notices and lawful basis to use Customer Data in Karmiq and to send invitations, documents and signature requests to employees.

Do not use Karmiq for unlawful, discriminatory, harmful or fraudulent activity; to upload malware; to interfere with the service; or to attempt to access data that does not belong to you.

4. Employee invitations and signatures

Administrators are responsible for verifying recipient details and the content of documents they issue. Karmiq records the acknowledgement or electronic-signature information submitted through the platform, including date, time and IP address. The organisation is responsible for determining whether this process is appropriate and legally valid for its particular document and jurisdiction.

5. Email connections

When an organisation connects its own mail provider, it authorises Karmiq to send employee correspondence through that connection. The organisation must use only authorised accounts and must not provide a normal mailbox password. It is responsible for its sender identity, email content, deliverability and compliance with applicable email laws.

6. Confidentiality and security

Each party will protect the other party’s confidential information using reasonable care and will use it only to operate or receive the service. Users must immediately notify Karmiq of a suspected security incident or unauthorised account access.

7. Availability, changes and support

We aim to operate Karmiq reliably, but the pilot service may be changed, maintained, suspended or discontinued. We do not guarantee uninterrupted or error-free availability. We may make changes needed for security, legal compliance or product improvement and will take reasonable steps to avoid unnecessary disruption.

8. Intellectual property

Karmiq and its software, design and brand remain the property of ANG Associates or its licensors. We grant an organisation a limited, non-exclusive and non-transferable right to use Karmiq for its internal business purposes during its authorised use of the service. Customer Data remains the customer’s or the relevant data subject’s property, subject to the rights needed to provide Karmiq.

9. Disclaimer and liability

Karmiq is provided on an “as available” basis to the maximum extent permitted by applicable law. Karmiq does not provide legal, HR, tax or compliance advice, and an organisation should obtain its own professional advice before relying on Karmiq for regulatory or employment-law decisions. Nothing in these Terms excludes liability that cannot legally be excluded.

10. Ending access

An organisation may stop using Karmiq at any time. We may suspend or end access where necessary to protect the service, comply with law, address a security risk or respond to a material breach of these Terms. On request at the end of service, we will provide reasonable assistance with customer-data export or deletion, subject to our Privacy & Data Policy and applicable retention obligations.

11. Changes and contact

We may update these Terms as the service evolves. The version published here applies from its stated date. Questions can be sent to karmiq@ang-associates.ch.
